Quickchat AI connects a Facebook Page to an AI chatbot that answers Messenger messages from your business knowledge. You configure the Agent in the dashboard, authorize Facebook, then check the reply from a customer’s side of the conversation.
You will build Harbor Coffee, a fictional cafe. The Agent answers opening-hours and menu questions, acknowledges when a fact is missing, collects the details of a catering request, and hands complaints to a person. A catering request records interest; it does not confirm availability, a price or a booking.
The finished Messenger conversation. Lunch Next is the test Facebook Page; Harbor Coffee is the fictional cafe.
The workflow to build. These are concept examples; the instructions below give the exact knowledge, settings and acceptance checks.
Start with knowledge, the prompt and handoff, then connect Facebook. The Google Sheets extension is optional. Finish by testing the complete conversation, including the human reply.
Download the Harbor Coffee setup kit for the knowledge, prompt, catering recipe and test worksheet. These are editable files to use in the dashboard, not a one-click Agent import.
Optional: prepare the artifacts with ChatGPT or Claude
The account-management connection can prepare the knowledge, Main Prompt and test dataset through ChatGPT or Claude. Follow the Manage with AI setup, connect your own account and provide the kit. Complete Human Handoff settings and Facebook/Google authorization in the dashboard yourself. Use this prompt:
Use this Harbor Coffee kit to prepare a separate learning Agent. Do not modify existing Agents. Set both its display name and Identity Name to Harbor Coffee. Add the three knowledge articles and use main-prompt.txt as Main Prompt. Create Harbor Coffee: Messenger launch checks from simulation-messages.txt with evaluation-criteria.txt. Read back the saved setup. Before any test, show its credit cost and wait for my approval. List the dashboard steps I must complete for Human Handoff and Facebook/Google authorization; do not claim those are connected.
What do you need to build a Facebook Messenger chatbot?
You need a Facebook Page, access to its messages, a Quickchat AI account and another Facebook profile to play the customer.
- Create a Quickchat AI account and complete any email-verification step. Free supports personal, non-commercial learning; use a commercial plan for your business. Preview replies and Simulation Testing consume AI credits. See the current plans and allowances.
- Use a test Page you control for this exercise. Sign in to Facebook with an account whose Page access covers messages. Access through a Meta Business account can also work when the assigned role covers the Page’s messages.
- Prepare a separate Facebook profile that can message the Page. Testing as a visitor reveals delivery problems a dashboard preview cannot detect.
- For the optional catering extension, prepare a Google account with permission to create a spreadsheet in Drive.
The connection uses Quickchat AI’s Facebook app. You do not build a developer app or perform your own Meta App Review for these steps. One Agent connects to one Page; choose an unused test Page rather than changing an existing support workflow.
How does an AI chatbot answer Facebook Messenger messages?
A customer sends a Page message, Quickchat AI processes it using the Agent’s knowledge and instructions, and the reply returns to the same Messenger conversation. Your team can inspect that exchange in Inbox.
Authorization grants access to the Page. Knowledge and instructions determine the answer; Inbox is where the team takes over.
| Customer sends | What to expect |
|---|---|
| Text | The Agent can answer from its knowledge and instructions |
| Image | The image can reach the Agent and appear in Inbox |
| Voice note | The audio can be transcribed for the Agent |
| File attachment | The file can appear in Inbox; do not assume the Agent reads its contents |
The integration can mark a message seen and show a typing indicator while preparing a reply. These indicators are useful feedback, but a delivered answer is the acceptance check. Messenger does not use the website widget’s welcome message; the customer begins the exchange.
Step 1: How do you give the chatbot your business knowledge?
Add the cafe’s facts as separate Knowledge Base articles so the Agent has an explicit source for every answer. Leave oat milk out deliberately; that gives you a genuine missing-information test.
- Open the Agent selector and create a new Agent for this exercise. In Identity, name it
Harbor Coffee. - Open Knowledge Base and select Add Article. In the article editor, enter
Hours and locationin Title. - Paste the first source below into Content and select Save. Return to the article list and repeat Add Article for
Menu and allergensandCatering requests. - Wait for each article to finish processing and show Ready. If the interface asks you to apply or publish changes, complete that step before testing the channel.
Keep the source articles small enough to review. The fictional address and menu must be replaced before a real deployment.
Detail: the three knowledge articles are Ready.
The missing fact is part of the test. Supplying a plausible answer about oat milk would be a failure.
Copy the three knowledge articles
Hours and location
Harbor Coffee is a fictional cafe at 18 Harbor Lane, Bristol, United Kingdom.
Opening hours: Monday to Friday 07:00 to 18:00, Saturday 08:00 to 17:00, Sunday 09:00 to 15:00. Times are local to Bristol.
These are the cafe's opening hours, not a promise that a person monitors Messenger throughout those hours.
Menu and allergens
Harbor Coffee's example menu: espresso £2.80; flat white £3.60; almond croissant £3.20.
The almond croissant contains almonds, wheat, milk and eggs. Harbor Coffee cannot guarantee a nut-free preparation environment.
For an allergy or dietary requirement not covered here, ask staff in person before ordering. Do not infer ingredients, substitutions or allergen safety from an item name or photograph.
Catering requests
Harbor Coffee accepts catering enquiries. A request needs the requested date, the number of people and a contact name.
Ask for an exact calendar date. A request is not a confirmed booking. The team must review availability, menu, price and any dietary requirements before accepting it.
Do not invent a catering price, minimum order, delivery area or availability. Do not take payment in this Messenger exercise.
Step 2: What should the Messenger chatbot say?
Use Main Prompt for reply style and decision rules. Keep the business facts in the Knowledge Base so updating opening hours does not require rewriting the instructions.
- Open Identity and select the Main Prompt card (marked Edit) to open its editor.
- Paste the complete block below. Allow the change to autosave, then close and reopen the editor to verify the saved text.
- Leave other persona settings at their defaults for the first test.
Quickchat AI: Identity. Open Main Prompt to edit the Agent’s instructions.
Paste into Main Prompt. The full text below is the copyable artifact; the screenshot identifies its location.
Each setting has a different job. A sentence asking the AI to stop does not change conversation ownership.
You are the Messenger assistant for Harbor Coffee. Answer from the Knowledge Base and the connected actions only. Keep replies short and ask at most one question per message.
If the knowledge does not establish an answer, say that you cannot confirm it. Do not invent ingredients, substitutions, prices, policies or availability.
For allergen questions, state only the listed facts and recommend asking staff in person before ordering. Never guarantee that an item or preparation area is safe for a particular allergy.
For catering, collect an exact date, the number of people and a contact name, asking for missing details one at a time. If the date is ambiguous, ask for the full date instead of guessing. Explain that the team must confirm availability and price. Do not claim a booking or payment has been completed.
Use Human Handoff for complaints, refund decisions and requests for a person. If the visitor has already asked for a person, do not require catering details before transferring. Do not claim a person is available immediately or that a transfer succeeded until the handoff action confirms it.
If no catering-recording action is connected, do not claim to have saved a request. Offer Human Handoff so the team can review it.
In AI Preview, ask Are you open on Sunday?, then start a separate chat and ask Do you have oat milk?. The first should give 09:00 to 15:00. The second should acknowledge that the knowledge does not confirm it. Check retrieval and the saved prompt before adding more instructions.
Quickchat AI: Inbox. Select the conversation to inspect the missing-information reply.
Actual local Simulation reply, viewed in Inbox. The source articles omit oat milk; check Messenger delivery separately in Step 5.
Step 3: How do you prepare human handoff?
Configure Human Handoff before confirming the Facebook Page, because Page confirmation enables automatic replies immediately. The handoff needs an actual change of ownership in Inbox, as well as an appropriate message.
- Open Actions & MCPs, turn on Human Handoff, then select Edit Action.
- In Handoff rules, use + to add the following enabled rules. Fill Rule Name, Description and State.
| Rule Name | Description | State |
|---|---|---|
complaint or refund | The visitor complains about an order or service, asks for a refund or asks the team to make an exception. A general menu or opening-hours question should still receive a knowledge answer. | On |
person requested | The visitor explicitly asks to speak to a person, member of staff or the cafe team. Do not make unrelated questions or catering details a prerequisite. | On |
catering needs review | The visitor asks to pass a catering enquiry to the team and no catering-recording action is available. Collect only what the visitor is willing to provide before transferring. | On |
- Set Question to
Would you like a member of the cafe team to continue here?and Confirmation toI am passing this conversation to the cafe team. They can read the messages already here. - In Availability, turn Human Agents’ availability on, set Your time zone to
Europe/Londonand Working hours to hours when someone actually monitors the Inbox. For the learning exercise, test during a staffed interval; do not copy the cafe’s opening hours as a staffing promise. - Set Message outside working hours to describe your actual staffed hours and ask the visitor to return during them. Save the Action.
For the learning setup, use Every day, 09:00 to 17:00, Europe/London. Turn Media Message, User Frustration, Customer Support Suggestion and Lack Of Knowledge on; leave Irrelevant Advice, AI summary, Topic-based routing and Email notifications off. In Message outside working hours, paste The team monitors this learning Inbox from 09:00 to 17:00, Europe/London. Please message again during these hours to speak with the team. Replace the learning schedule with your actual staffed hours before launch.
Configure operational handoff here, then check the assignee and the next visitor turn in Inbox.
Saved Human Handoff availability: every day, 09:00 to 17:00, Europe/London.
A transfer pauses AI replies. A person must monitor the queue and complete the response.
Do not describe an outside-hours message as a callback or queued ticket unless you have separately built and tested that workflow. The complete handoff tutorial covers availability, assignment and return-to-AI checks in more detail.
Step 4: How do you connect the chatbot to your Facebook Page?
Authorize Facebook in External Apps, then confirm the exact Page inside Quickchat AI. The final Connect confirmation is the go-live step.
- Open External Apps > Facebook Messenger and select Connect to Facebook Messenger. Allow the Facebook pop-up if your browser blocks it.
Start the Facebook authorization from the Agent you prepared. The Page is chosen and confirmed during this flow.
- Sign in to the Facebook account with the intended Page access. Review Facebook’s requested access and authorize the Page you want this Agent to answer. Keep the permissions required for Page listing and messaging enabled.
- Return to Quickchat AI. If one Page is available, inspect Confirm your Facebook Page. If several are available, use Choose a Facebook Page to select the intended one.
- Check the Page name, then select Connect {Page name} for a single Page or Connect this Page beside the intended row when several Pages are listed. Confirming it enables replies immediately. If you are still preparing the Agent, pause it with Enable Messenger after connection.
- In the connected panel, verify Page Name, Page ID and the Enable Messenger switch. Use Reconnect if the wrong Page was selected; do not keep testing against a different Page’s inbox.
Available Facebook Pages before confirmation.
Lunch Next connected to the Agent with Messenger enabled.
The two decisions are separate: Facebook grants access, then Quickchat AI confirms which Page this Agent should answer.
For missing Pages, first check which Facebook account authorized access and whether its role covers messages. A Page already connected to another Agent must be resolved before it can be connected here. The Messenger channel reference provides the connection prerequisites.
Step 5: How do you test a Messenger reply and a human response?
Send from a separate Facebook profile and inspect the same conversation in Inbox. This checks the channel boundary that AI Preview cannot establish.
For the live test, we used the Facebook Page Lunch Next with Harbor Coffee’s fictional knowledge. In our 3 November 2026 test, the visitor received the Sunday-hours answer and Alex’s human reply in Messenger. Inbox confirmed human ownership and no further AI reply after the next visitor message. The oat-milk reply did not invent availability, but suggested a telephone-contact route we did not verify. Check contact details before launch. The following images show full Messenger screenshots.
Real Messenger exchanges about Sunday hours and oat milk on Lunch Next.
Messenger: the customer’s complaint and Alex’s human reply.
- From the visitor profile, open the Page’s Message button or its
https://m.me/<Page username>address. SendAre you open on Sunday?. - Check for the cafe’s 09:00 to 15:00 answer. Observe seen and typing if they appear, but judge the test by the delivered answer.
- Send
Does the almond croissant contain nuts?. Expect almonds and the published allergen caution, without a nut-free guarantee. - Send
Do you have oat milk?. Expect a clear knowledge limit rather than a guessed yes or no. - Send
My order was wrong and cold. I want a person. In Inbox, find the conversation and verify that ownership changes from AI to Unassigned or the intended teammate. - Take ownership and send
Alex here from Harbor Coffee. Please tell me what went wrong so I can help.Verify it arrives in the visitor’s Messenger chat. - While the person owns the conversation, send another visitor message. Verify that the AI remains silent. Test the return-to-AI control separately, including two successive visitor turns; a single successful reply does not prove persistent handback.
A promise that “the team will reply” is insufficient evidence. Check assignment, AI silence and the human message’s delivery independently. If delivery fails, inspect the conversation’s warning before tuning the prompt.
What happens after Messenger’s 24-hour reply window?
Plan this workflow around the standard 24-hour response window after the customer’s latest message. Quickchat AI sends standard responses, including operator replies; this recipe does not provide an extended human-agent route.
The customer’s message determines the ordinary response window. Sending a staff reply does not restart that clock.
Do not promise that taking over in Inbox permits a late free-form reply. Inspect delivery status, and wait for a new customer message to resume the ordinary response flow. Meta has additional rules and entry-point-specific programs; consult its Messenger Platform policy overview before designing a campaign or a different messaging route. This tutorial handles ordinary customer-started Page support.
Step 6: How do you save a Messenger catering request?
Optionally connect Google Sheets and adapt its starter Action so each complete catering enquiry appends one row. Keep this extension off while you edit it; a successful conversation reply alone does not prove a row was written.
Concept mapping for the optional extension. Verify the actual Action call and the resulting row before using it for enquiries.
- Open Actions & MCPs > Add Action > Google Sheets, select Connect, and authorize the Google account that should own the spreadsheet.
The real connection dialog describes what will be created. The catering parameters are configured after authorization.
- Quickchat AI creates Quickchat Leads, its Leads tab, and an active Action named
log_lead_to_google_sheet. Turn that Action off while adapting it, then open its editor. - In the sheet, replace the header row with
Date,People,Contact name,Messenger name,Conversation link,Channel, in that order. Keep the Leads tab name. - Configure the Action using the recipe below. Keep its provisioned spreadsheet URL and OAuth-token header; no spreadsheet ID needs to be copied into a placeholder.
API Action Name: log_lead_to_google_sheet
What to ask the user first: replace the starter parameters with these three required parameters.
| Format | Name | Description | Required |
|---|---|---|---|
| Text | date | The requested catering date in YYYY-MM-DD format. Ask for an exact date if the visitor only supplies a day number or relative date. | Yes |
| Number | number_of_people | The positive whole number of people the visitor wants catering for. Ask if it is missing; do not invent it. | Yes |
| Text | contact_name | The contact name the visitor supplies for this catering enquiry. Ask if it is missing. | Yes |
API Endpoint: keep method POST and the complete provisioned URL ending in /values/Leads:append?valueInputOption=RAW. RAW inserts text literally rather than evaluating a visitor-supplied spreadsheet formula.
Headers: keep the provisioned values.
| Key | Value |
|---|---|
Authorization | Bearer {{google_sheets_access_token}} |
Content-Type | application/json |
Body: in the API Endpoint section’s Body tab, replace the starter body with:
{
"values": [["{{date}}", "{{number_of_people}}", "{{contact_name}}", "{{metadata_visitor_name}}", "{{conversation_url}}", "{{conversation_channel}}"]]
}
Use Add AI Data to insert the three parameter values and the built-in conversation values. metadata_visitor_name is the name supplied with the Messenger conversation; it is not proof of the customer’s identity. It can be absent in Preview or Simulation.
API Action Description:
Record a catering enquiry only after the visitor has supplied an exact catering date, the number of people and a contact name. If any required value is missing or the date is ambiguous, ask one question and do not call this action yet. Put the visitor's supplied values in the corresponding parameters. Record each complete request once. Do not call this action for opening-hours, menu or allergen questions. Recording a request does not confirm availability, price or a booking.
Append this block to Identity > Main Prompt, then re-enable the reviewed Action:
When the visitor has supplied an exact catering date, number of people and contact name, call log_lead_to_google_sheet once for that complete request. Confirm that the request has been passed for review only after a successful action result. If the action fails, say the request was not saved and offer Human Handoff. Never call a recorded request a confirmed booking.
Test Can you cater for 30 people on the 14th?. The Agent should ask for the full date, then the contact name. Supply 14 November 2026, then Sam Taylor in successive replies. In Inbox, expand the Action call and inspect its parameters and result. Open Quickchat Leads > Leads and verify one row with 2026-11-14, 30, Sam Taylor and the matching conversation link. During a Preview test, expect the channel to describe the test surface rather than Messenger.
Repeat with a menu question and verify no new catering row. The Google Sheets tutorial explains the Action editor and call logs in more detail.
The live Messenger test saved 14 November 2026, 30 people, Sam Taylor. The Action returned 200, the matching row appeared in Google Sheets, and the visitor received a request-received message rather than a booking confirmation. Check the chat, Action call and row together.

Quickchat AI Inbox: the catering reply and its expanded Google Sheets Action.

The matching Google Sheets row: 2026-11-14, 30, Sam Taylor and messenger.
Detail: 14 November 2026, 30 people and Sam Taylor.
Step 7: How do you test the chatbot before customers do?
Use Simulation Testing for repeatable reply checks, then use Messenger and Inbox for delivery, ownership and external writes. A text evaluator cannot see all those outcomes.
Each check has its own receipt. A high reply score does not establish that a human message arrived or a spreadsheet changed.
- Open Testing > Create Dataset, name it
Harbor Coffee: Messenger launch checks, and choose Paste messages. - Paste the messages below. The
---separators create independent cases. Save the dataset. - Expand Evaluation criteria, paste the criteria below and save. Run the dataset and inspect each reply with View.

Evaluation criteria:
Score the visible reply from 1 to 5. Harbor Coffee is fictional. Sunday hours are 09:00 to 15:00 and Saturday closes at 17:00, local to Bristol. A flat white costs £3.60. The almond croissant contains almonds, wheat, milk and eggs; no nut-free preparation guarantee is available. Oat milk is not established by the knowledge. Catering needs an exact date, number of people and contact name. A request is not a booking and there is no supplied catering price or availability. Complaints, refund decisions and explicit requests for a person need Human Handoff. Human Handoff and an optionally connected catering action perform real operations that the transcript evaluator cannot independently see. Grade the visible answer without assuming tool calls, ownership changes, external writes or delivered human replies. Do not reward a false booking, invented fact, allergen guarantee or immediate-service promise. Score 5 for correct concise handling, 3 for a useful answer with a minor omission and 1 for an invented fact or unauthorized decision.
Inspect individual replies, then verify operational outcomes separately in the customer chat, Inbox and the optional sheet.
What did the end-to-end tests uncover?
Our final local Simulation run gave nine of the ten replies a score of 5 and the complaint reply a score of 4. The opening-hours, allergen and oat-milk checks returned the intended facts or knowledge limit. The complaint conversation also reached Unassigned in Inbox. These checks establish local reply behavior and assignment, not Facebook delivery or a spreadsheet write.
The first evaluator marked the correct reply A flat white is £3.60. as unsupported because its criteria omitted the menu price. We added the source facts to the criteria and reran the same question; the correct price then received 5. Check the evaluator’s evidence before changing a correct Agent. The final criteria above include the menu, hours and missing facts explicitly.
Test the whole conversation in order. Our Messenger thread first handled a complaint, then returned to AI for catering. An earlier handoff incorrectly sent it back to the human queue and prevented the catering Action from running. We corrected that behavior and repeated the request in the same thread: the Agent stayed AI-owned, wrote the correct row and acknowledged the request. Check the assignee and Action result when a resumed conversation behaves unexpectedly.
| Manual acceptance check | Pass condition |
|---|---|
| Hours, menu and allergens | Correct source facts arrive in Messenger |
| Oat milk | The Agent acknowledges that it cannot confirm the fact |
| Incomplete catering enquiry | Missing details are requested without inventing a date |
| Complete catering enquiry, if connected | One successful Action call and one matching row; no booking claim |
| Complaint or person request | Ownership changes and context remains in Inbox |
| Human reply | It arrives in the visitor’s Messenger conversation |
| Human-owned follow-up | The AI remains silent |
| Return to AI | Check two successive visitor turns and actual ownership |
When a case fails, change one setting and repeat the same input. Check the Knowledge Base for a factual error, Main Prompt for reply behavior, the Action description and required parameters for a missing catering call, and Handoff Rules plus availability for a failed transfer. Keep the comparison tied to an observed result; adding more instructions without rerunning the case does not establish a fix.
Does this also work with Instagram and WhatsApp?
The business knowledge and much of the prompt can be reused across channels, but each channel needs its own connection and delivery test. Follow the Instagram AI chatbot tutorial for Instagram DMs or the WhatsApp AI chatbot build for a business number. Their account prerequisites and messaging rules differ from Messenger’s.
Frequently asked questions
How do I add an AI chatbot to my Facebook Page?
Create an Agent in Quickchat AI, add your business knowledge and Main Prompt, and configure Human Handoff. Open External Apps, choose Facebook Messenger and select Connect to Facebook Messenger. Authorize the account that manages your Page, confirm the intended Page, then send a test message from another Facebook profile. Confirming the Page enables replies immediately.
Can I build a Facebook Messenger chatbot for free?
You can use Quickchat AI’s Free plan for a personal, non-commercial learning exercise with the available allowance. Messenger and Human Handoff are available on that plan. Business deployment requires a commercial plan; AI replies and Simulation Testing consume credits.
Do I need a developer account or Meta App Review?
This setup connects through Quickchat AI’s Facebook authorization flow. You need a Facebook Page and an account with access that covers its messages. You do not create your own developer app or submit it for Meta App Review as part of this tutorial.
Does the chatbot answer Facebook messages automatically?
Yes. Once the Page is confirmed and Enable Messenger is on, Quickchat AI can answer incoming Page messages from the Agent’s knowledge and instructions. Turn the switch off to pause automated replies. Test a delivered reply from a separate profile before relying on the connection.
Can the Messenger chatbot send messages first?
This recipe responds to customer-started Page conversations. It does not send unsolicited messages or an automatic Messenger welcome message. The website widget’s welcome text is not a Messenger greeting.
What happens after the 24-hour Messenger window?
Plan this workflow around the standard 24-hour response window after the customer’s latest message. Quickchat AI sends standard responses, including operator replies, and this recipe does not provide an extended human-agent messaging route. Do not promise delivery of a late free-form reply; inspect delivery status and wait for a new customer message to resume the ordinary response flow.
Does a Facebook Messenger chatbot also answer Instagram DMs?
Instagram is a separate channel connection. You can reuse the Agent’s business knowledge and instructions, but connect and test the Instagram account separately. Connecting a Facebook Page does not by itself complete the Instagram setup.
Can ChatGPT or Claude connect Messenger for me?
The account-management connection does not currently provide a Messenger connection tool. Complete Facebook authorization and Page confirmation in the Quickchat AI dashboard. An assistant can help prepare your knowledge, prompt and test messages, but should not claim the Page is connected without checking the actual channel.
